# Data sources

> Where every document enters the platform - Upload, organize folders, attach metadata and track every ingestion.

Every path data takes into the platform lives in **Data sources** - Currently, files and folders you upload directly. A source only stores and manages files; reading, chunking and indexing happen in the [Knowledge base](https://docs-eos.fpt.ai/en/screens/knowledge-bases.md).

## Source list screen

| Area | Content |
| - | - |
| Header | Label showing which roles may act (*Editor, Admin*), the **Run history** and **Add data source** buttons |
| Status filter | Filter sources by status, with counts |
| **Refresh** button | Reload the list |
| Source table | One row per source (see columns below) |

| Column | Meaning |
| - | - |
| Source | Name, type (*direct upload*), file count, whether the *folder tree is kept* |
| Status | *Ready* or *Ready (with errors)* |
| Last sync | Time and user of the most recent ingestion |
| Documents | Number of documents in the source |
| Used in KBs | Knowledge bases taking data from this source |
| Actions | **⋯** menu: **View details**, **Upload files**, **Delete source** |

### Run history

The **Run history** screen lists every upload of the sources you can view: source name, type (*Upload*), result, successful / total files (with *skipped* and *failed* counts), who ran it, start time and duration. Filter by *All / Mine*, type, result and time range (default 30 days). Click a row to open that source's detailed log.

## Adding a data source

The source wizard has two steps: choose the source type, then add files and confirm.

**1. Choose source type**

Select **Upload files & folders** - For when you have no central storage system yet.

**2. Add files**

Drag and drop files or whole folders, or click *choose files* / *choose folder*. The queue on the right shows how many files are ready.

**3. Name it and choose options**

Enter a **Source name**. Turn on **Keep folder tree** (folder names become metadata for filtering) and **Store only one copy of identical documents**.

**4. Review the summary and create**

The **Source summary** block shows source type, file count, size and estimated upload time. Click **Create source**.

## Source detail screen

The header shows the source name, managers, status, file count and size, storage location and the KBs using the source. Three main buttons: **Create folder**, **Upload files**, **Create knowledge base** (create a new KB from this source).

### Browse files tab

| Element | Used to |
| - | - |
| FOLDERS tree | *All files*, each sub-folder with its file count, *Trash* |
| Toolbar | **Create folder**, **Rename**, **Move**, **Delete** - Select files or open a folder first |
| Quick filters | *All* · *Ingested* · *Missing required metadata* |
| Metadata filter | Filter files by metadata field values |
| Edit in Excel | Export metadata to Excel / CSV, edit in bulk, then import it back |
| File table | File name, upload status, **⋯** menu with **Download**, **Rename**, **Move**, **Metadata**, **Delete** |

### Upload log tab

A list of uploaded batches (time, file count, size, target folder, result). Each batch's **Failed and skipped files** section is kept so you can re-upload after fixing them.

### Trash tab

Deleted files are removed from the index, so agents can no longer retrieve them. After 30 days files are permanently deleted; there is no manual purge button.

### Settings tab

| Section | Content |
| - | - |
| Library | Rename the source; see the state of the two options *Use folder names as metadata* and *Store only one copy* (fixed at creation, cannot be changed) |
| Trash & versions | Deleted files stay in trash for 30 days (always on); version history is kept when a file is overwritten |
| Used in KBs | Which KBs use the source, and whether they take all of it or selected files |
| Folder metadata rules | **Add rule** to assign metadata to a whole folder. New files pick it up automatically; sub-folders inherit; a value set manually on a file always wins |
| Danger zone | **Delete source** - Deletes every file and folder, cannot be undone; not allowed while a KB still uses the source |

> [!WARNING]
>
> **Note:** There are no document-level permissions yet - Every workspace member can read every file in a source. Do not upload confidential documents.
